Card payment at a vending machine costs the operator between 0.51 and 14.12 cents per transaction. This range is no measurement error — it arises almost entirely from the tariff structure. A pure percentage tariff costs under three cents on a one-euro purchase; a tariff with a fixed cent amount per transaction costs over twelve. Choosing the wrong tariff structure means paying multiples of the cost on small amounts, regardless of how well the location performs.

The short answer

At a sales price of €1.00 and a location with 200 cups per day:

  • Percentage tariff at the low end, 0.25 percent: 0.74 cents per transaction
  • Percentage tariff at the high end, 0.95 percent: 1.44 cents
  • Credit card at the high end, 2.75 percent: 3.24 cents
  • Vending tariff with 2.5 percent plus 10 cents per transaction: 12.99 cents

The last figure represents 13 percent of the gross price. It does not come from an estimate, but from published rate information from one of the most widespread providers of vending machine payment solutions — with the explicit note that this tariff is intended for sales values above five dollars. That is precisely the issue: the fixed amount hits small amounts fully.

All figures apply to a €1.00 transaction. With other prices, percentage tariffs shift proportionally, but the fixed amount does not.

Why known retail figures do not apply directly here

The German Federal Bank (Deutsche Bundesbank) studied the costs of payment methods in retail, based on time measurements of approximately 13,000 transactions at 15 points of sale and a survey of 268 retail companies. Result: cash payment costs the retailer an average of 43 cents per transaction; Girocard costs 60 cents. In relation to sales revenue, Girocard is the cheapest method at just under one percent.

These figures are cited in vending discussions, and they are not directly transferable. Part of that is cashier time — operating the till, giving change, processing payment — and this does not occur at a vending machine.

It would be wrong, however, to claim that all work time is eliminated. A substantial part of the time costs lies in upstream and downstream activities: settlement, verification, reconciliation, complaint handling. This work also occurs in vending machine operation, only in a different place — in the operator's office rather than at the till. Those who do not account for it underestimate their costs.

What can be said: the pure transaction processing costs per payment at a machine are significantly lower than the 60 cents in the study, namely between 0.5 and 14 cents depending on the tariff. The administrative side adds to this and is location-specific.

The four cost components

Card payment at a vending machine incurs four types of costs. Distinguishing between fixed and variable is more important than the amount.

First, the ongoing service fee. For vending terminals including mobile connectivity, telemetry and transaction processing, approximately 14 euros per device per month is charged, thus 168 euros per year. This is not a terminal rental — the hardware is purchased in this calculation. Those who lease instead have a higher monthly fee and no depreciation in return. Calculating both simultaneously would be double-counting.

Second, depreciation of the hardware. We calculate with 350 euros for a retrofit kit with MDB connection. This is an assumption, not a list price quote. Over five years — the baseline value from the German Federal Ministry of Finance depreciation tables for vending machines — this equals 70 euros per year.

Third, one-time fees. Activation of a device is charged at approximately 30 dollars, at the ECB reference rate roughly 26 euros, distributed over five years amounts to about five euros per year. This line item is small, but belongs in the calculation because it recurs with each additional device.

Combined, this results in 243.60 euros in fixed annual costs.

Fourth, the fee per transaction, and here lies the decisive difference. It consists of a percentage component and in many tariffs additionally a fixed cent amount. Contracts may contain additional items: authorization fees, monthly minimum charges, payout fees, surcharges for corporate and company cards, reversal and chargeback fees, and costs for compliance with card security standards. Before every calculation, the rate sheet must be reviewed position by position — a calculation that only knows percentages is incomplete.

The fixed component, and why it matters less than assumed

The fixed 243.60 euros are distributed across transactions:

  • 60 cups per day, 15,000 transactions per year: 1.62 cents per transaction
  • 200 cups per day, 50,000 transactions: 0.49 cents
  • 370 cups per day, 92,500 transactions: 0.26 cents

This effect is real, but small compared to the tariff structure. Between the smallest and largest location, the difference is 1.36 cents per transaction. Between a percentage tariff and a tariff with ten cents fixed component at the same location, it is over eleven cents.

This corrects a widespread assumption: card payment costs are not determined by utilization, but by the contract. For per-cup cost of goods, it is the opposite — there, fixed costs and thus frequency dominate.

Total costs per transaction, by location and tariff

At 60 cups per day: percentage tariff low-end 1.87 cents, percentage tariff high-end 2.57 cents, credit card high-end 4.37 cents, vending tariff with fixed component 14.12 cents.

At 200 cups per day: 0.74 / 1.44 / 3.24 / 12.99 cents.

At 370 cups per day: 0.51 / 1.21 / 3.01 / 12.76 cents.

As a percentage of the gross price of one euro, these are 0.5 to 2.6 percent for percentage tariffs, 3.0 to 4.4 percent for expensive credit cards, and 12.8 to 14.1 percent for the tariff with fixed component.

How many additional sales the terminal must generate

This calculation is the truly interesting one, and it is more demanding than a simple fixed cost analysis. If payments that previously came in coins now run through a card, the fee also applies to this existing revenue. The card must therefore not only earn its fixed costs, but also cover fees on the existing volume.

With a contribution margin of 55.6 cents per cup from our guide to cup pricing for coffee vending machines and the assumption that all payments shift to card:

At 60 cups per day, additional cups that must be sold are: 2.0 cups daily with the low-end percentage tariff, 2.8 with the high-end, 4.7 with expensive credit card and 15.2 with the vending tariff with fixed component. The latter corresponds to 25 percent higher sales volume.

At 200 cups per day: 2.7 cups daily with the low-end percentage tariff, 5.2 with the high-end, 11.6 with expensive credit card and 46.7 with the tariff with fixed component — also approximately 23 percent higher sales volume.

Two things follow from this. With percentage tariffs, the hurdle is low: two to three additional cups per day are realistic at most locations. With the tariff with fixed component, the hurdle is so high that it is practically impossible to achieve through increased sales. There, card payment is a service concession that costs money — not an investment that pays for itself.

This figure says nothing about whether the increased sales materializes. It only indicates how high the bar is set.

At what transaction value the fixed component becomes tolerable

The fixed cent amount loses weight as the transaction value increases. For a tariff with 2.5 percent plus 10 cents:

  • €0.80 receipt: 12.00 cents, thus 15.0 percent
  • €1.00 receipt: 12.50 cents, 12.5 percent
  • €2.50 receipt: 16.25 cents, 6.5 percent
  • €5.00 receipt: 22.50 cents, 4.5 percent

This is precisely why this tariff is recommended for sales values above five dollars. For a coffee at one euro, it is the wrong choice; for a snack vending machine with multiple purchases or a specialty coffee at €2.50, the calculation looks different.

Those selling small amounts therefore need either a tariff without a fixed component or bundling of multiple purchases into a single transaction. Both are negotiable and should be clarified before contract conclusion.

Girocard or credit card

The gap between the two depends on which ends of the respective ranges you compare, and this is often presented too broadly.

At 0.95 percent for Girocard versus 1.19 percent for credit card, the factor is 1.25, thus a surcharge of one quarter. At 0.25 versus 2.75 percent, the factor is 11. At 0.95 versus 2.75 percent, it is 2.89.

Across the board, therefore, only this can be said: credit card payments can more than double compared to Girocard, but need not. Those who calculate with the Girocard rate and predominantly see credit cards are underestimating their costs — by how much depends on your own contract.

In practice, the consequence is no choice, because customers expect both and terminals accept both. What remains is the necessity of knowing the card mix at your location and deriving a weighted rate from it.

What the interchange fee has to do with this

The discount is often confused with the statutorily capped interchange fee. These are two different things.

The European Regulation on Interchange Fees caps the fee that the merchant's payment service provider pays to the card-issuing bank: a maximum of 0.2 percent for debit cards and 0.3 percent for credit cards. Important is the scope — the caps apply to consumer cards. Corporate cards and certain other card types are not blanket covered, which is why corporate card payments can be more expensive.

At a receipt of one euro, the caps correspond to 0.2 and 0.3 cents respectively. The operator's discount is higher because it additionally includes card system fees and the acquirer's margin. The cap thus limits one component, not the entire calculation. Those who invoke the cap in negotiations are discussing a few tenths of a cent.

What cash costs by comparison

A complete comparison would need to calculate the cash side with the same care, and reliable public figures for vending machine operation are lacking. The line items can be named:

  • Coin validator and change dispenser in acquisition, plus their susceptibility to failure
  • Time for emptying, counting and reconciliation at each service call
  • Transport and deposit, potentially with armoured transport
  • tied-up float in small change
  • shrinkage and discrepancies

We do not provide a cent figure for this, because it would be invented without our own time measurement. What can be said: cash costs are predominantly labour time per service call and thus largely fixed, not per transaction. They decline with frequency and only disappear when the coin channel is eliminated entirely.

Six calculation mistakes

Only calculating percentages. A fixed cent amount per transaction is the largest line item on small amounts: ten cents on one euro is ten percent, more than any percentage on the market.

Naming a cost range without tariff details. Between 0.51 and 14.12 cents lies a factor of 28 — a number without its corresponding tariff is worthless.

Transferring retail figures unchecked. Cashier time is eliminated at machines, but administrative work for settlement and complaint handling is not.

Mixing lease and purchase. Either the hardware is leased, in which case there is no depreciation, or it is purchased, in which case the monthly fee is service and not rent.

Calculating break-even from fixed costs only. If existing cash payments shift to card, the fee also applies to this revenue. This moves required additional sales from two to up to fifteen per day.

Treating the interchange fee as the discount. The cap concerns one component, applies to consumer cards and amounts to a few tenths of a cent at a one-euro receipt.

Checklist: calculating card payment in eight steps

  1. Go through the provider's rate sheet completely and note every line item, not just the percentage. Explicitly ask about authorization fees, minimum charges, payout fees, reversal fees, corporate card surcharges and compliance costs.
  2. Check whether the tariff contains a fixed cent amount per transaction. If yes: is it designed for your average transaction value?
  3. Determine the number of transactions per year from actual sales and operating days, not from device capacity.
  4. Sum fixed annual costs: service fee, hardware depreciation, allocated one-time fees.
  5. Calculate the fee per transaction for your average receipt, separately for Girocard, credit card and corporate card.
  6. Estimate the card mix and derive a weighted rate from it. Without this step, you are calculating the best-case scenario.
  7. Determine break-even: fixed annual costs plus fees on existing volume, divided by the contribution margin per transaction.
  8. Assess whether the location can generate these additional sales. This is the only uncertain variable in the calculation — all others are in the contract.

Those without data at step 6 will receive it after a few months from the payment processor's statement. Until then: calculate with the high-end figures.
